‘Orchids in Wonderland’ Volunteer Sign-up

Welcome to the 2017 Sonoma County Orchid Society Annual Show and Sale! We need you! Look at all the great volunteer opportunities available and many do not require any orchid knowledge! Sign up for a shift and attend the show for FREE!

All volunteers are invited to attended the Pasta Party immediately following the show on Saturday April, 1st. You can sign-up online to provide a dish by selecting the Pasta Party sheet below.

Volunteer Descriptions:

Admissions: Orchid Knowledge Not Required

Admissions: Volunteers for this position should be happy, friendly and outgoing. You are the first face our visitors see so a positive first impression is important! Greet guests, stamp hands, distribute raffle tickets, and hand out programs. The 9:45 – 12:00 shift will also assist with set-up & the 2:30 – 5:30PM shift will also assist in take-down as needed.

Admissions Cashier: Requires taking admission money and making change. You will also be required to accept PayPal charges via cellphone.

Awards & Trophies: Orchid Knowledge Not Required

Awards & Trophy Placement (Saturday): Assist the Awards Chairperson with the placement of the trophies following judging.

Boutique & Plant Boutique: Orchid Knowledge Not Required

Boutique & Plant Boutique Set Up (Friday): Cover tables and arrange and pre-ticket plants for sale. Store empty boxes under tables. Dispose of any trash. Arrange general area so that it is pleasing as a sales area.

Boutique & Plant Boutique Sales & Cashier: Ideal for friendly & outgoing folks. Add up purchases, compute sales tax (from a chart), make change and write-up sales tags. You will also be required to accept PayPal charges via cellphone. The 9:45 – 12:00 shift will also assist with set-up & the 2:30 – 5:30PM shift will also assist in take-down as needed.

Judging Clerks (Friday & Saturday AM)

All plant entries should be complete by 6:00pm on Friday March 31. Please be at the display area by 6:00pm or slightly before. Clerks will be assigned to teams with the clipboards of the plants they must locate for the judges to ribbon judge. As soon as the plants are finished being placed in the display, you can begin to locate your assigned plants. Must work both Friday evening starting at 6PM and Saturday morning at 8AM.

Display: Orchid Knowledge Not Required

Display Set Up (Friday): Requires power tools, lifting and carrying display items weighing up to 30 pounds.

Display Take Down (Sunday): Requires power tools, lifting and carrying display items weighing up to 30 pounds. Disassemble and pack up display. Help load into the appropriate vehicles.

Docent Tours:

Docent Tours: Requires an outgoing person with a good general knowledge of orchids.

Greeter /Security: Orchid Knowledge Not Required

Greeter/Security: Monitor (standing or sitting) assigned exit and check plants purchased for proof of sale dots. Vigilance against theft is also required. Direct those without dots back to the vendor. Hand out literature as instructed. The 2:30 – 5:30PM shift will also assist in take-down & clean-up as needed.

Membership:

Membership: Welcome potential new members and answer questions about joining the society. Handout business cards and invite people to the next meeting. The 2:30 – 5:30PM shift will also assist in take-down & clean-up as needed.

PayPal Operator: Orchid Knowledge Not Required

PayPal Operator: This is a roving position mainly between Membership & Society Plant Sales. Process credit card transactions using PayPal via cell phone or tablet. May require standing.

Pasta Party: Orchid Knowledge Not Required

Pasta Party Set-up: Assist Pasta Party Chairperson setup for dinner. Put on tablecloths, arrange food, beverages and serving utensils as directed.

Plant Doctor:

Plant Doctor: Requires knowledge of orchid culture. Diagnose plant problems, answer questions on how to grow specific orchids and handout culture sheets.

Plant Hotel: Orchid Knowledge Not Required

Plant Hotel Set Up (Friday): Assist Plant Hotel Chairperson in setting up the plant hotel. Organize & store empty boxes under tables. Dispose of any trash.

Plant Hotel: This position is both a standing and seated position. Some moderate lifting involved. Store plants for shoppers until they are ready to leave the show. The 2:30 – 5:30PM shift will also assist in take-down & clean-up as needed.

Publicity: Orchid Knowledge Not Required

Poster & Postcard Distribution: These volunteer positions begin immediately. Requires putting up posters and leaving postcards in nurseries, merchants of any kind willing to allow posting, grocery floral departments, church bulletin boards, senior centers, recreation departments, community halls, community billboards, wineries, etc.

Santa Rosa is divided into 4 sections as follows:
Northeast – North of Hwy 12 & East of 101
Northwest – North of Hwy 12 & West of 101
Southeast – South of Hwy 12 & East of 101
Southwest – South of Hwy 12 & East of 101

Show Set-Up & Take-Down: Orchid Knowledge Not Required

Pick Up & Delivery from Storage Unit to Veterans Building (Friday): Requires a truck or similar large capacity vehicle. Involves lifting, loading, unloading, and walking. Pick up from Southpoint Self-storage, 700 Lombardi Ct. Santa Rosa.

Show Set Up & Decoration (Friday): Two teams of 4 will cover all tables and with assist with general set up. Requires standing and light lifting.

Show Set Up & Electrical (Friday): Place and tape down all electric wire covers on the floor. Tasks also include general set help as needed.

Show Take Down (Sunday): Help with all areas of the show take down and clean up as directed by the Show Chairperson.

Show Take Down & Electrical (Sunday): Remove all electric wire covers and tape from the floor. Assist with general take down and clean up as needed.

Delivery from Veterans Building to Storage Unit (Sunday): Requires a truck or similar large capacity vehicle. Involves lifting, loading, unloading, and walking. Deliver to Southpoint Self-Storage, 700 Lombardi Ct. Santa Rosa

Society Plant Sales:

Society Plant Sales Set Up (Friday): Cover tables and pre-ticket and arrange member’s plants as they are brought in for sale. Store empty boxes under tables. Dispose of any trash. Arrange general area so that it is pleasing as a sales area.

Society Plant Sales: This fun position is for social people who know something about orchids. Assist buyers with information about the orchids they are interested in. This is a standing position. The 2:30 – 5:30PM shift will also assist in take-down & clean-up as needed.

Volunteer Hospitality: Orchid Knowledge Not Required

Volunteer Hospitality Set Up (Friday): Assist Hospitality Chairperson in setting up the Volunteer Room. Light lifting and walking required. The 2:30 – 5:00PM shift will also assist in take-down & clean-up as needed.

Volunteer Hospitality: Give our volunteers a warm welcome! Distribute aprons, name tags and direct to their positions.
